Costs

When adding costs to the NDBEDP Centralized Database, keep the following in mind:

  • Multiple costs can be added to a single line item. Enter each cost separately if it appears as a separate charge on your supporting documentation.

  • Descriptions matter. When selecting an Other category, a clear description and justification are required. Costs categorized as "Other" without an adequate description may be rejected.

  • Supporting documentation is required. Attach invoices, receipts, timesheets, or other documentation that supports the cost. If one attachment supports multiple costs, identify the appropriate page number for each cost entry.

  • Enter costs that match your documentation. Record costs as they appear on the invoice or receipt instead of combining multiple charges into one line whenever possible. This makes claim review easier.

  • Costs can be entered later. You may save a line item without entering costs and return to add them later, or enter a zero-dollar cost until the final amount is known.

  • Future dates are not allowed. Costs must reflect expenses that have already occurred.

  • Budget limits still apply. Administrative costs, outreach costs, and Train-the-Trainer costs are subject to their respective program caps.
